Summary

McLarens is looking for a passionate and experienced Collections Analyst to join our team.   The Collections Analyst will be responsible for actively reviewing and resolving open balances in Accounts Receivable. Our ideal candidate will have strong intuition with systems and internal and external clients, is an independent thinker, is business development oriented, values teamwork, productivity, and customer engagement and satisfaction. The ideal candidate will also be adept at problem-solving and process improvement. 

Essential Duties and Responsibilities:

  • Manage portfolio of assigned clients, monitoring AR activity to ensure compliance.
  • Work closely with other AR departments such as billing & cash applications.
  • Liaise with internal partners for escalation and dispute resolution.
  • Research posting logs, ledgers, and files to trace the history of balances and payments.
  • Submit paperwork for refunds, offsets, or write-offs after collecting all required information and approvals for processing.
  • Maintain consistent schedule and demonstrate commitment to quality with portfolio tracking and communications.

Required Experience & Skills:

  • 5 plus years’ experience in AR reconciliation.
  • Proven work experience in a B2B Accounts Receivable role handling high volume customer accounts.
  • Experience in systems such as SAP, Oracle, Great Plains, Vision, etc.
  • Comprehensive experience with MS Office systems, especially Excel and Outlook.
  • Ability to multi-task, work efficiently, and manage deadlines in a changing environment.
  • Proven problem-solving experience partnering cross-functionally with different departments.
  • Strong analytical skills and intuition using different systems.
  • Ability to navigate Excel with the highest levels of accuracy and demonstrate consistent organization with portfolio management.
  • Excel skills, including building reports, using formulas, filtering and sorting data, using vlookup functions, and labeling/saving files in consistent manner for reference.
  • Outlook skills, including calendar management, inbox management and organization, performing comprehensive searches, and keeping track of email conversations with multiple parties.
  • Microsoft Teams use, including calendar management, creating scheduled meetings and calls, and promptly responding to messages and calls.
  • Navigate client portals and translate data and information from vendor portals and internal systems into useful information for other users who may not share familiarity with those systems.
  • Communicate with clients and learn their nuances to manage expectations and streamline interactions.
  • Ability to thoroughly research items before reaching out to internal and external clients to see if anything is already pending or if contact has additional requirements.
  • Communicate with clients, internal and external, in effective and tactful manner.

Essential Physical Requirements:

  • Must be able to remain in a stationary position 50% of the time. (Regularly). 
  • The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. (office & hybrid roles). (Occasionally).
  • Constantly operates a computer and other office productivity machinery such as a calculator, copy machine and computer printer. (Regularly).
